Update on Kilchenzie
TM and NL admitted that the proper procedures had not been followed regarding the laying down of stones at Kilchenzie. However following discussions with Oliver Lewis HES, they were now aware that class 5 Consent forms needed to be completed before any work carried out on a scheduled monument. Local employees would be informed of this prerequisite. All had acted in good faith in the interest of public safety. Forms will be completed retrospectively.
TM has had discussions with Oliver as to how repairs can be made. It was agreed that a visit to all three sites would be the best way forward, so that all would become familiar with the project.
KP indicated that this project would cost in the region of £1 million and it was important to ensure that everything was done correctly. HES and HLF need to see that we are working together and have a credible Maintenance Plan. An end of project maintenance plan will be crucial for our applications to other funders.
It was agreed that TM and NL would attend our monthly meeting.
RC advised that there were other ancient fallen stones, but it was decided that we concentrate on the more recent falls. However, the restoration of the older stones should be included in our Action Plan.

Update on Killean
An H&S assessment had been carried out, NL to forward to the group. The Heras fencing has been in position since 2018 and is itself in danger of collapsing. KP concerned that it would fall and damage walls. KP will check walls every 3-6 months and tighten bracing.
Update on Kilkivan
NL to check with OL regarding the ashes interment within the footprint of the church.
Terms of Agreement
MMcD noted that there was no mention of keeping each partner informed. DR
indicated that the agreement was produced quickly for funding applications, but
this would be rectified in the legal document
Press Report
As part of contract, there must be an agreed press release acknowledging HES/HLF input but due to the issues at Kilchenzie it was delayed. It is important that the press release is positive for all involved. Draft Press release to be forwarded to TM who will pass it to the A&B Communications team to check over and add their bit. HES/HLF need to see final version before publication.

TM has prepared 2 models for maintenance of the graveyards, with respect to strimming and weedkilling, to be discussed at future meeting.
